• User Data: This includes information you provide directly, such as your name, email address, telephone, company name, company size, company address, user role, company website and job title.
• Candidate Data: This includes information about job seekers who apply for positions through the Platform. This data may include resumes, CVs, cover letters, names, contact information, education history, work experience, skills, and other information contained in their application materials. We collect candidate data directly from job seekers or indirectly when you upload CVs to the platform.
• Automatically Collected Information: We may also automatically collect certain information when you use the Platform, including your IP address, device information (including OS details), browser type, access logs, usage data, user login information.

We use the data we collect for the following purposes:

• To provide the Platform services: We use User Data to create your account, manage your subscription, and provide you with access to the Platform’s features. We use Candidate Data to analyze resumes, match candidates with job openings, and facilitate the recruitment process.
• To improve our services: We use data to improve the accuracy and effectiveness of our AI models and personalize your experience on the Platform.
• To analyze usage trends: We use data to analyze usage trends of users and optimize the performance of the Platform.
• To communicate with you: We use data to communicate with users including sending important notices, updates, and promotional materials.
• Data sharing with companies: Sharing candidate profiles with potential employers for recruitment purposes.
• To comply with legal obligations: We may use data to comply with applicable laws and regulations.
• This data may allow conclusions about a particular visitor. However, personal data is not utilized in this context. The use of such data is exclusively anonymous. Our company’s servers where data is collected and stored on are all located in the Frankfurt region, Germany and are subject to Swiss law and regulations.

We utilize AI models for various functionalities on the platform. These models process Candidate data to analyze skills, experience, and qualifications. These models are reviewed periodically to ensure fairness and accuracy. We are committed to developing and using AI models that are fair and unbiased. Here’s how we ensure Algorithmic Fairness:

• Data Cleansing: We clean candidate data to minimize bias based on factors like gender, race, or age.
• Model Training: We train our AI models with diverse datasets to reduce bias in candidate evaluation.
• Human oversight: For unbiased hiring, we combine AI analysis with human review where candidate data is anonymized before any manual evaluation.

We will not share your User Data or Candidate Data with any third party without your consent, except in the following limited circumstances:

• Service Providers: We may share data with service providers who help us operate the Platform, such as data storage providers and cloud computing services. These providers are contractually obligated to protect your data. Candidate data may be transferred to third-party service providers like ATS platforms used by potential employers to facilitate the services offered. These transfers will comply with GDPR requirements and applicable data protection laws.
• Legal Requirements: We may disclose data if required by law, subpoena, or court order.
• Platform rights: To protect our rights, property, or safety, or the rights, property, or safety of others.

You have certain rights regarding your data under applicable data privacy regulations. These rights may include:

• Right to access: You can request a copy of your User Data.
• Right to rectification: You can request to correct inaccurate or incomplete User Data.
• Right to erasure: You can request to delete your User Data.
• Right to object: You can object to the processing of your User Data.

• We implement comprehensive security measures to protect your data from unauthorized access, use, disclosure, alteration, or destruction. We will retain Candidate Data for a period consistent with applicable law or as long as instructed by you. Currently we retain candidate data for a period of 12 months after their last activity on the platform.

• We use so-called cookies to facilitate the use of our website allps.ai. “Cookies” are small pieces of information that your browser temporarily stores on the hard disk of your computer and which are required to use our website allps.ai.
• The cookies used by us do not store any person-specific information. Most web browsers automatically accept cookies. You can avoid this by changing the settings of your browser. You can remove cookies stored on your PC at any time by deleting the temporary Internet files (“Extras – Internet Options” browser bar). • We use google analytics to improve our services to collect information about traffic to our Site and how users use our Site.
